How to keep track of business expenses
If you are freelancing or running a small business, “I’ll remember later” is how expenses disappear. Here is a simple system that actually sticks.
1. Capture every expense the same day
The best way to track business expenses is to log them while the receipt is still in your hand. Waiting until month-end means missing Uber rides, client coffees, and software renewals.
Use a receipt scanner app for paper and email receipts, or a WhatsApp expense tracker when you only have a chat open.
2. Separate business from personal early
Even if you pay from one card, tag each expense as work or personal as soon as you log it. Mixing them is the #1 reason small-business books feel messy. See our full guide on separating business and personal expenses.
3. Use categories that match how you work
Start simple: software, travel, client meals, contractors, ads, office. You can refine later. Over-categorizing on day one is how people quit tracking.
4. Export before tax time, not during
Monthly CSV exports beat a March panic. Whether you use a spreadsheet template or an app like TrackFi, schedule a monthly review.
Spreadsheet vs app
Spreadsheets work until you travel, lose receipts, or forget to update them. Apps win when capture is faster than typing. If you still want a sheet, grab our free business expense spreadsheet template.
